These terms apply to all projects accepted by Vanessa Macfarlane (Service Provider) and you (Client). By engaging our services, you confirm your acceptance of these terms.

To commence a project, we require written confirmation and, if applicable, a deposit payment, which signifies your acceptance of our terms. We reserve the right to decline any project at our discretion.

Each project’s scope, including format, annotations, and deadlines, will be outlined beforehand. The agreed fee is based on an initial evaluation; any additional work may incur further charges and require renegotiation.

Vanessa Macfarlane operates independently as a self-employed professional, and fees may be set hourly, by word count, or as a fixed rate. Reasonable expenses, if applicable and pre-approved, will be reimbursed.

We reserve the right to discontinue work on any project containing offensive, illegal, or copyrighted material. You guarantee that the content provided is original and free from intellectual property violations.

If text generated by AI software is used, this must be disclosed, as it may impact project scope and cost. Failure to disclose AI use may result in termination.

Confidentiality is maintained for all projects, and final content ownership transfers only upon full payment. A non-refundable deposit, usually 50%, secures services, with the balance due on receipt of the final invoice. Late payments are subject to UK law’s interest terms.


3. Student Terms and Conditions

Students should confirm with their institution that proofreading is permitted and provide supervisor contact details if required. Vanessa Macfarlane offers proofreading only, without altering or rephrasing content beyond basic typographical corrections.

Students bear responsibility for meeting submission deadlines. A non-refundable deposit secures services, and full payment is due upon completion of the work.


4. Cancellation Policy

If a project is cancelled before it begins, the deposit is non-refundable, but no additional fees will apply. If cancelled mid-project, up to 100% of the agreed fee may be invoiced depending on work completed.

In the event of unforeseen circumstances on Vanessa Macfarlane’s part, you will be notified to discuss rescheduling or invoicing for completed work.

Neither party will be liable for delays or failures caused by extraordinary events beyond control, such as natural disasters. Material breaches of contract by either party may lead to immediate termination.


5. Acceptance and Complaints

As an Entry-Level member of the Chartered Institute of Editing and Proofreading (CIEP), Vanessa Macfarlane is committed to high standards. While accuracy is prioritised, complete error elimination cannot be guaranteed. Please confirm acceptance of completed work within seven days; otherwise, non-response will be taken as approval.

For complaints, please contact me within seven days to work on a resolution. As a CIEP member, Vanessa Macfarlane follows its Professional Practice Code, and the CIEP offers a formal complaints process.
